SEND Hub North West is committed to protecting and respecting your privacy. This Privacy Notice explains how we collect, use, store and protect personal information when we work with children and young people with special educational needs and disabilities (SEND), their parents and carers, and professionals.
Who we are
SEND Hub North West is an independent specialist education service providing assessment, teaching, consultation, training and SEND support to children, young people, families and schools.
For the purposes of data protection legislation, SEND Hub North West is the Data Controller, meaning we are responsible for how and why personal data is processed.

What personal information we collect
We may collect and process the following types of information:
Information about children and young people
• Name, date of birth and contact details
• School, setting or provision details
• Information about special educational needs and disabilities
• Educational information, including learning profiles, strengths and areas of need
• Information from observations, assessments, consultation and support work
• Relevant health, developmental or wellbeing information shared to support the child
Information about parents, carers and professionals

• Relationship to the child or professional role
• Correspondence and records of meetings or discussions
Much of the information we process about children and young people is special category data under UK GDPR because it relates to health, education, development and wellbeing.

• Referral and consent forms
• Information shared by parents and carers
• Information provided by schools, settings or local authorities (with appropriate consent or lawful basis)
• Direct work with children and young people, including teaching, observation and consultation

We use personal data to:
• Deliver specialist education and SEND support
• Plan, provide and review individual support and interventions
• Communicate effectively with families, schools and professionals
• Write reports and provide feedback and recommendations

Under UK GDPR, SEND Hub North West processes personal data using the following lawful bases:
• Consent – where parents/carers (and young people where appropriate) have given clear consent
• Public task – where our work supports children’s education and welfare, particularly when working with schools or local authorities
For special category data, we rely on:
• Explicit consent, and/or
• Processing necessary for the provision of education, support or care

Who we share information with
We only share personal information when it is necessary and appropriate. This may include:
• Parents and carers
• Schools, early years settings or colleges

• Other professionals involved in supporting the child or young person

How we store and protect information
We take appropriate steps to keep personal data secure, including:

• Access to information limited to those who need it for their role

How long we keep information
